1. Who operates ONEPING
Flevanta Origins Ltd, registered in England and Wales (company number 17519128), is the service operator. Registered office: 67 Tower Road, Felixstowe, England, IP11 7PR. Privacy enquiries: hello@forge4biz.co.uk.
2. Information we use
- Account and contact details, such as name, email address, login credentials stored as password hashes, and account preferences.
- Requests, checklists, names, comments and answers that users submit or share through private recipient links.
- Subscription plan, payment status and transaction references. Card payment details are handled by Stripe rather than being stored by ONEPING.
- Limited technical and security information needed to keep accounts and the service operational.
3. Why we process information
We process data to provide the account and service (performance of a contract), administer billing and meet legal obligations, and protect the platform against abuse (legitimate interests). Where consent is required for a separate purpose, we ask for it.
4. Data entered by customers
Business customers decide what information to include in requests and who may receive private links. In relevant cases the customer acts as controller of its request content and ONEPING processes it on the customer's instructions. Do not upload sensitive, confidential or real customer information while ONEPING is labelled as a fictional-data preview.
5. Service providers and transfers
We use Floot to operate the website and app, including AWS and Neon infrastructure, and its built-in operational analytics. Floot states that app databases and backends operate in the United States. Stripe handles payments when subscriptions are enabled, and transactional emails may use Floot's email service. Depending on your location, international data transfer rules and legal safeguards apply. Contact us for information about the relevant arrangements. We do not sell personal data to advertisers.
6. Retention and security
We keep data for as long as required to deliver the service, meet legal obligations, resolve disputes and protect accounts. Financial records may be kept longer where law requires. We use account access controls and private, revocable request links, but users must share links only with intended recipients.
7. Your privacy rights
Depending on the circumstances, you may ask to access, correct, erase, restrict or receive your personal information, or object to processing. Sign in to your ONEPING account to download a copy of your account, requests and checklist answers. Free accounts with no Stripe billing records can also delete their login and associated application data from the active system, after confirmation. Deletion from the active service does not immediately erase copies in database recovery history or information retained by other providers. For other requests, including deletion where billing records exist, contact hello@forge4biz.co.uk. We may need to verify your identity or authority before releasing or deleting records. Some information must be retained when law requires it or another lawful exception applies.
8. Data protection complaints
If you believe we have handled personal information improperly, please tell us by email at hello@forge4biz.co.uk or write to the registered office address above. Explain the concern and what you would like us to review; please do not send passwords, identity documents or sensitive records in an initial email. We will acknowledge a complaint within 30 days, investigate without undue delay, keep you informed and explain the outcome. You can also raise concerns with the Information Commissioner's Office.
9. Updates
We may update this notice as ONEPING develops. We will make material changes available on this page and provide further notice where required.
